WHAT IS EVENT PRODUCTION?

Guest management, catering, technology, guiding signs, schedules and programme. The part of the event that is visible to guests is the tip of the iceberg of what is actually involved in event production.

EVENT PRODUCTION IS MUCH MORE THAN MEETS THE EYE.

When we talk about To Do event production, we mean the process of bringing together every minute and essential element to create a memorable, experiential and impactful event from start to finish. Whether it’s an intimate retreat in a unique setting or a high-level seminar, when producing an event we let our creativity fly and make the most of the best possible partners and ways of working. As experts in the event industry, we can choose the right solutions, content, actors and DIRECTIONS for your project from a range of possible alternative approaches. By doing so, we ensure the best possible outcome. We do all this with great passion. We are To Do.

A FOUR-POINT “CHECK LIST” FOR A SUCCESSFUL TO-DO EVENT

  1. What is the reason behind it all? For an event to be successful, it must be crystal clear WHO we are doing it for and WHO is involved, what are the OBJECTIVES behind it all. When making events, we always have two customers instead of one; the customer who orders the event and the visitor who attends it. What is our client’s goal? What is the real reason for the guests to attend the event? We want to get to the root cause for both and answer it.

For example; a person who is buying a drill, doesn’t really want a drill, but a hole in the wall. What is really behind it is the desire to put up a shelf, decorate the home, build a nest, provide a safe environment etc etc.

So why are we really doing this event? What are the objectives behind the participation?
  2. We want to turn the event into an experience of “participation” with a capital K. By clarifying our goals, we can help both our clients and participants to take the right steps on the way to something new. We want to create events for all the senses, to help our guests seize the moment and get excited. When these things happen, the motivation to participate is created and the hustle and bustle is forgotten. In this way we ensure that our guests leave the event with new ideas, and experiences. We want to be involved in showing the way for change.

When catering, technology, content & creative elements are seamlessly blended together with the objectives, the result is a functional whole, like a beautiful jigsaw puzzle made up of many pieces. Every detail counts. Ultimately, the puzzle should evoke “ah-ha” experiences, exhilaration and self-discovery, and in turn support the objectives set. The event experience must be meaningful. Change must happen. The event must be RAVIST!
  3. Content matters – following the red thread. The environment and how an event looks has a big impact on the experience. To avoid the experience being just an empty shell, the pearl inside the shell must be the pearl. Content. The whole event must support the content, the reason “WHY”the eventis being held. Every element of the event, from the air-clearing plants to the networking apps, should be aligned with and reinforce the content chosen through the objective. The content should be tailored to the event and the target audience, interactive, thought provoking and insightful.
  4. What’s left? A successful event leaves something for everyone. A change in thinking, a new experience, a strengthened deal or a new partner. The key is to ask whether the goal was achieved. Did the desired change happen? What has happened under the surface? There are many ways to measure, the right way depends on WHAT and WHEN you want to know. At Me To Do, we want to constantly know how the event is progressing and, if necessary, adjust the participants’ event path in real time and in an agile way to ensure a diamond outcome. We want to support our clients’ success and create memories for visitors through engaging and insightful events. By the way, did you know that the signal of unexpected success is the biggest reinforcement signal the brain can produce? When thinking about how to motivate, inspire and leave a mark, here’s a good basis to do so!
